What UK businesses say

Trusted by sole traders, limited company directors, contractors and accountants across the UK.

5.0

I used to track mileage in a spreadsheet and forget half my journeys. Now I log each one in seconds and the PDF goes straight to my accountant at year-end. Saves me hours and probably pays for itself in unclaimed miles alone.

FAQs

Common questions

Straight answers to what UK sole traders, directors and accountants ask most about mileage claims.

What is the HMRC mileage rate for cars in 2026/27?

+

From 6 April 2026 (tax year 2026/27), HMRC raised the Approved Mileage Allowance Payment (AMAP) rate for cars and vans to 55p per mile for the first 10,000 business miles — the first increase since 2011. Above 10,000 miles the rate remains 25p. Before 6 April 2026 the rate was 45p. Motorcycles are 24p per mile and bicycles 20p per mile, both with no mileage threshold. MileageClaim applies the correct rate to every journey automatically based on the journey date and vehicle type.

Can a limited company director claim mileage?

+

Yes. As a director, you can claim mileage reimbursement from your own company when you use your personal vehicle for business travel. At 55p/mile for the first 10,000 miles from 6 April 2026, this is completely tax-free for you personally and a fully deductible expense for the company — reducing your Corporation Tax liability. MileageClaim generates the structured mileage log your accountant needs at year-end, formatted to HMRC documentation standards.

Can a sole trader claim mileage on Self Assessment?

+

Yes. Sole traders can deduct business mileage from their taxable profits using either the flat HMRC rate (Simplified Expenses) or actual vehicle costs. For most sole traders with a car, the Simplified Expenses route (55p/mile up to 10,000 miles, 25p above) is easier and often more tax-efficient. MileageClaim tracks your journeys throughout the year and produces a clean summary to include with your Self Assessment return or send to your accountant.

What records do I need for a mileage claim?

+

HMRC requires the date of each journey, the business purpose, start and end locations, and the total miles travelled. You do not need fuel receipts when using the HMRC flat rate. Records must be kept for at least 5 years after the Self Assessment filing deadline (6 years for limited companies). MileageClaim captures all required fields for every journey and generates a structured PDF report that meets HMRC's documentation standard — ready to send to your accountant or store for an HMRC enquiry.

What is VAT fuel reclaim and does MileageClaim support it?

+

If your business is VAT-registered and you use a company car or pay fuel expenses, you can reclaim the VAT element of fuel costs using HMRC's advisory fuel rates. These rates change quarterly. MileageClaim automatically fetches the current HMRC advisory rates, calculates the reclaimable VAT on each journey, and groups amounts by VAT return period — so your quarterly VAT fuel reclaim figure is always ready.

Can I download my mileage records as a PDF?

+

Yes. MileageClaim generates a professional PDF report with one click. The report includes every journey (date, route, purpose, miles, claim value), a running total for the tax year or financial year, and a summary table formatted to HMRC documentation standards. Most users send this directly to their accountant at year-end. You can generate reports for any period — full tax year, financial year, or individual months.

How long do I need to keep mileage records?

+

HMRC requires mileage records to be kept for at least 5 years after the 31 January Self Assessment deadline for the relevant tax year. For limited companies, the requirement is 6 years from the end of the accounting period. Cloud-based storage in MileageClaim means your records are always accessible and never lost — unlike paper logs or local spreadsheet files. All records are securely stored and can be re-downloaded at any time.

Can my accountant access my mileage records?

+

You can download a PDF report at any time and share it directly with your accountant by email or file-sharing. The report is formatted specifically to give accountants everything they need for year-end accounts, Self Assessment, or Corporation Tax returns. An Accountant plan (coming soon) will allow practices to manage mileage records for multiple clients directly within MileageClaim.

Is MileageClaim really free?

+

Yes — completely free, no time limit, no credit card required. The Free plan includes 1 business (sole trader or limited company), unlimited journey logging, automatic HMRC rate calculations, tax year reporting, and PDF downloads. A Pro plan (£5/month) and Accountant plan (£15/month) are coming soon for businesses needing multiple entities or accountants managing multiple clients. The Free plan will always remain free.
